DEPOSIT AND RESERVATION

​

A deposit equal to 25% of the total party price is required to reserve your event.

Your requested date and time are not officially reserved until the deposit has been received. Once the deposit is received, a booking confirmation will be sent to you.

The deposit will be applied toward the remaining balance of your party.

​

FINAL PAYMENT AND REMAINING BALANCE

​

The remaining balance must be paid in full before the scheduled party begins and before services are provided.

​

CANCELLATION AND RESCHEDULING POLICY

​

Cancellations made at least 24 hours before the scheduled party may have the deposit transferred to a new available date.

The event may only be rescheduled one time, and the rescheduled event must take place within one year of the original party date. All new dates and times are subject to availability.

​

Pricing may change if the new event location is farther away or outside our standard service area.

Same-day cancellations will result in the loss of the deposit unless the cancellation is caused by circumstances beyond the client’s control. These circumstances may include:

• Serious illness or hospitalization
• A death in the immediate family
• Government evacuation orders
• Severe weather that makes travel or operation unsafe
• A major home or property emergency
• Other serious emergencies reviewed and approved by Game Over Game Truck

Game Over Game Truck may request reasonable documentation and will make the final determination regarding whether an exception applies.

Cancellation or rescheduling requests must be made by phone or email.

​

CANCELLATION BY GAME OVER GAME TRUCK

​

Game Over Game Truck makes every reasonable effort to fulfill all scheduled events and rarely cancels.

In the unlikely event that we must cancel because of an emergency, mechanical issue, unsafe weather, accident, illness, government restriction, or another circumstance beyond our control, we will provide as much advance notice as reasonably possible.

The client may choose to transfer the deposit to another available date or receive a full refund of the deposit.

Refund timing will depend on the client’s bank or credit card processing time.

WEATHER AND SAFETY

​

Ordinary rain does not automatically cancel the game truck.

However, lightning, flooding, tornado warnings, ice, dangerous road conditions, severe storms, or other unsafe conditions may require the event to be delayed, paused, moved, rescheduled, or canceled.

Game Over Game Truck reserves the right to make the final decision regarding whether weather, road, parking, or property conditions are safe for our staff, guests, truck, and equipment.

PARKING AND SETUP REQUIREMENTS

​

A flat driveway is the preferred parking location.

Street parking may be used as long as there is enough safe and legal space for the game truck and enough room for other vehicles to pass safely. The game truck requires a significant amount of parking and setup space.

We cannot safely park on steep hills or in areas with low-hanging branches, low wires, soft ground, narrow access, or other unsafe conditions.

Apartment and community events may be accommodated as long as there is a safe, legal, and approved location for the game truck to park and a safe area for children to enter, exit, and participate.

The client is responsible for:

• Obtaining permission from the property owner, apartment management, HOA, venue, or neighborhood when required
• Providing a safe and accessible parking location
• Keeping the setup and parking area clear before our arrival
• Ensuring that the game truck does not block traffic, fire lanes, emergency access, mailboxes, driveways, or restricted areas
• Informing us in advance of parking, gate, security, permit, or venue restrictions

Game Over Game Truck may refuse to park or operate in a location that is unsafe, illegal, inaccessible, or likely to damage the truck, trailer, equipment, or surrounding property.

ARRIVAL, SETUP, AND CLIENT-CAUSED DELAYS

​

Our team normally arrives approximately 45 minutes before the scheduled party start time to complete setup and begin the party on time.

The client must ensure that the parking area is available and accessible before our arrival.

Delays caused by the client, guests, blocked parking, vehicles that must be moved, an incorrect address, unavailable property access, gate or security delays, venue restrictions, or other client-related issues will reduce the available party time.

Because we must remain on schedule for other events, the party will still end at the originally scheduled time. The client will receive the amount of party time remaining after the delay has been resolved.

PARTY TIME AND ADDITIONAL HOURS

​

The party begins and ends at the times listed in the booking confirmation.

Setup time is not deducted from the purchased game time when the required parking and access are available upon arrival.

Additional time may be purchased, subject to availability, for $199.99 per additional hour.

Additional time cannot be guaranteed and cannot interfere with another scheduled event.

​

GUEST CAPACITY

​

Up to 14 children may play at one time inside the game truck.

If more than 14 children attend, we may still be able to accommodate the group by setting time limits and rotating guests so everyone has an opportunity to play.

The birthday child will not be required to give up their controller during these rotations.

​

GAME ATTENDANTS AND ADULT SUPERVISION

​

Two Game Over Game Truck attendants will be present to assist the children, help with games and equipment, and promote safety inside the game truck.

Our attendants are not responsible for supervising children outside the game truck.

A responsible adult must remain at the event location throughout the entire party and remain available in case parental assistance or intervention is needed.

The paying client is responsible for the conduct and supervision of all guests attending the event.

GUEST CONDUCT

​

Bullying, fighting, threats, harassment, inappropriate language, intentional misuse of equipment, unsafe behavior, or refusal to follow staff instructions will not be permitted.

Smoking, vaping, illegal drugs, weapons, and alcohol inside the game truck are strictly prohibited.

Game Over Game Truck reserves the right to remove a guest or end services early if behavior creates an unsafe, threatening, abusive, or damaging environment.

No refund will be provided when services are shortened or ended because of unsafe behavior, misconduct, property damage, or failure to follow staff instructions.

GAMES AND CONTENT PREFERENCES

​

Before the party, we will ask the client which games they would like available and which games they permit their children and guests to play.

Parents and guardians are responsible for informing us of any game ratings, content restrictions, or titles they do not want their children to access.

Specific games, consoles, systems, accessories, or online features cannot always be guaranteed because of maintenance, licensing, updates, equipment availability, internet performance, or unexpected technical issues.

Comparable games or equipment may be substituted when necessary.

NO FOOD OR DRINKS INSIDE THE GAME TRUCK

​

Food, drinks, candy, gum, and open containers are strictly prohibited inside the game truck.

​

INTERNET CONNECTIVITY

​

Mobile internet access is included with all packages. However, internet speed and performance may be affected by the event location, weather, network traffic, signal strength, or other conditions beyond our control.

Upon request and when available, we may connect to the client’s home Wi-Fi, which may provide a more reliable connection.

Regardless of internet connectivity, offline games will remain available, and full payment is still required.

VIRTUAL REALITY USAGE

​

Virtual Reality equipment may be available on board. However, VR use depends on weather, available space, equipment availability, and safety conditions.

Rain, direct sunlight, extreme heat, severe weather, limited space, or unsafe surroundings may prevent VR equipment from being used.

Guests should not use VR equipment if they are experiencing dizziness, nausea, motion sickness, balance problems, seizures, vision problems, recent injuries, or any medical condition that could make VR participation unsafe.

Guests must immediately stop using VR equipment if they experience dizziness, nausea, discomfort, confusion, loss of balance, or other concerning symptoms.

Parents and guardians are responsible for deciding whether their child is physically and medically able to participate in VR activities.

All guests must follow the instructions of Game Over Game Truck attendants while using VR equipment.

LIABILITY FOR DAMAGES

​

The paying client is financially responsible for damage to the game truck, gaming systems, televisions, controllers, VR equipment, furniture, accessories, or other company property caused by the birthday child or any attending guest.

This includes damage caused by intentional acts, misuse, fighting, throwing equipment, food or drinks, failure to follow instructions, theft, or negligent behavior.

The client agrees to pay the reasonable cost of repairing or replacing damaged or missing property.

Ask us about our optional Damage Waiver for additional protection. Damage Waiver coverage, limitations, exclusions, and applicable fees will be explained separately before purchase.

PHOTOS AND VIDEOS

​

Game Over Game Truck may take photographs or short videos during the event for promotional, advertising, website, or social media purposes.

Clients who do not want photographs or videos of their event or guests used must notify Game Over Game Truck before the party begins and complete the required photo opt-out form.

It is the client’s responsibility to notify us in advance of any guest who should not be photographed or recorded.

TRAVEL AND FUEL CHARGES

​

Our standard pricing includes travel within a 20-mile service range.

Events located outside the standard 20-mile service range may be subject to an additional fuel or travel charge.

Any additional travel-related charges will be disclosed before the booking is finalized, provided that the correct event address has been submitted.

Additional charges may also apply for tolls, paid parking, permits, venue fees, or other location-specific expenses.

AGREEMENT

​

By paying the deposit, you confirm that:

• You have read and understood these Booking Terms & Policies.
• You agree to the cancellation and rescheduling policies.
• You accept responsibility for your guests and any damages they cause.
• You agree to provide a safe and legal parking location.
• You understand that internet access, VR equipment, specific games, and specific systems may be affected by availability or conditions beyond our control.
• You agree to pay the remaining balance before services begin.
